Privacy, Permissions and Safeguarding

Your child's privacy matters

Photographing young children comes with a responsibility to make sure their images and personal information are handled carefully and securely.

I take privacy, data protection and safeguarding seriously and work with each nursery or pre-school to make sure appropriate arrangements are in place before photography takes place.

Parental permissions

Before a photography day, I will agree with the nursery how parental permissions and any opt-outs will be managed, in accordance with the setting's own policies and procedures.

Only children who are included in the agreed photography arrangements will be photographed.

Parents will be provided with clear information about the photography and how their child's photographs will be accessed and purchased.

Secure online galleries

Photographs are managed through Pics4Schools, a specialist photography platform used to provide secure individual galleries.

Each child is allocated an individual QR code, allowing parents to access their child's photographs without photographs of other children being made available in their gallery.

Pics4Schools processes the photographs and associated information on my behalf as my data processor/sub-processor. Their system also manages the online ordering and payment process.

Personal information

Only information necessary to organise the photography and provide the service is collected.

Depending on the arrangements with the nursery, this may include a child's name and other information needed to identify their photographs, together with a parent or guardian's contact details where required.

Personal information and photographs will not be used for purposes other than those explained to parents and agreed with the nursery, unless there is an appropriate legal basis to do so.

How long are photographs kept?

Photography bookings and images held within the Pics4Schools system remain live for 14 months from the date the photograph was taken, allowing parents to place re-orders or request remakes.

I will also have my own procedures for the secure storage and deletion of photographs held outside the Pics4Schools system.

Safeguarding

The safety and wellbeing of the children I photograph is extremely important to me.

I hold an Advanced DBS certificate and follow appropriate safeguarding practices when working with children.

I will always work in accordance with the nursery or pre-school's own safeguarding procedures and will follow any reasonable requirements they have regarding photography and working within their setting.

I will not knowingly photograph a child where the appropriate permission has not been provided.

Working with your nursery

Before your photography day, we'll discuss:

  • How parental permissions will be managed
  • Which children are able to be photographed
  • How children will be identified for their individual galleries
  • How the photographs will be made available to parents
  • Any specific safeguarding or photography requirements your setting has

I want you to feel confident that your children's photographs are being handled professionally, securely and respectfully from the moment they are taken through to delivery.

If you have any questions about privacy, permissions or safeguarding, please get in touch.
